How a Virtual Assistant could help with… your holiday preparations

December 6, 2010

With only 20 days left until the end of year break, there are many ways a Virtual Assistant could help you get on top of your holiday preparations.  Ideally of course, you should start preparations much earlier, but sometimes, things just get away from you – or there are just a lot of last minute things to be done.

Naturally, a Virtual Assistant can help you organise gifts and cards for your clients, staff and suppliers.  They may be able to handle your telephone and email accounts while you have a break.  They can take care of a lot of the little details that need to be handled at this time of the year.  A few of the things they can do for you are:

  • Send out gifts
  • Send cards
  • Note CRM with details of gifts and cards sent and received
  • Note CRM with address change details when applicable
  • Use the sending of seasonal communications to audit your CRM system
  • Let clients know of changes to opening hours
  • Let clients know when you’ll be closed for the break
  • Monitor email accounts while you have a break
  • Answer telephone calls while you have a break
  • Be a point of contact for clients while you have a break
  • Update your website and social media accounts with holiday wishes and opening hours
  • Amend your email signature blocks to suit the season
  • Set out of office messages on email accounts as applicable
  • Notify suppliers to cease deliveries during your holidays
  • Organise to collect your snail mail (if local)
  • Organise your end of year function – from sending invitations, accepting RSVPs to booking locations, setting menus, organising secret Santa etc
  • Assist with purchase of online gifts for friends and family
  • Source gifts you wish to purchase locally
  • RSVP on your behalf to end of year functions
  • Send thank you notes on your behalf

And importantly, a Virtual Assistant can make a note in your diary as well as making a note for themselves to ensure that your end of year preparations start well before December next year.
